Applicant Privacy Notice

1. Who we are

Streamba Ltd is the controller of personal data we collect and use when you apply for a role with us or take part in our recruitment process.

2. How this notice applies

This notice applies to candidates and job applicants who apply through our careers site, GoHire, job boards, recruitment agencies, referrals, email or any other recruitment channel.

Where you apply through GoHire, GoHire Technologies Limited provides the recruitment platform and processes application data on our behalf. GoHire also provides its own applicant privacy information about how it operates the platform.

3. Personal data we collect

We may collect and use the following categories of personal data:

  • your name, contact details, location and communication preferences;
  • your CV, cover letter, employment history, education, qualifications and skills;
  • portfolio links, LinkedIn profiles, GitHub profiles or other materials you provide;
  • answers to application, screening or interview questions;
  • interview notes, assessment outcomes, feedback and hiring-stage information;
  • right-to-work information and identity documents where required;
  • references and background information where appropriate for the role;
  • communications with you during the recruitment process; and
  • optional equal opportunities or diversity information, where we ask for it and you choose to provide it.

4. How we use your data

We use applicant personal data to:

  • receive, assess and manage applications;
  • communicate with you about roles and the recruitment process;
  • assess your suitability for current or future opportunities;
  • arrange and conduct interviews, tests or assessments;
  • make recruitment decisions and offer employment where appropriate;
  • check your right to work and comply with legal obligations;
  • keep recruitment records and respond to queries or disputes; and
  • improve our recruitment process and candidate experience.

5. Lawful bases

We rely on the following lawful bases under UK data protection law:

  • Legitimate interests in recruiting candidates, assessing suitability, managing hiring processes and improving recruitment.
  • Contract or steps before entering a contract where we consider you for employment and discuss potential employment terms.
  • Legal obligation where we need to verify right to work or comply with employment, tax, regulatory or legal requirements.
  • Consent where we ask to keep your details for future opportunities beyond the normal recruitment period, or where you voluntarily provide optional information that is not needed for the role.

If we process special category data, such as health, disability or diversity information, we will only do so where permitted by law, for example to meet employment law obligations, make reasonable adjustments, monitor equality of opportunity, establish or defend legal claims, or where you have given explicit consent.

6. Who we share your data with

We may share applicant personal data with:

  • Streamba employees and advisers involved in recruitment;
  • GoHire and other recruitment platform or technology providers;
  • recruitment agencies, referrers or job boards where relevant;
  • assessment, interview, background-check or reference providers where used;
  • professional advisers, insurers, auditors and legal representatives; and
  • public authorities, regulators or law enforcement where required by law.

We do not sell applicant personal data.

7. International transfers

Some service providers may process personal data outside the United Kingdom. When this happens, we use appropriate safeguards where required, such as adequacy regulations, the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or equivalent contractual protections.

8. How long we keep your data

We normally keep unsuccessful applicant records for up to 12 months after the end of the relevant recruitment process, unless a longer period is needed for legal, regulatory or dispute purposes.

If you agree that we may keep your details for future opportunities, we may retain them for a longer talent-pool period, and you can ask us to remove them at any time. If you are hired, relevant recruitment records will become part of your employee record and will be handled under our internal employee privacy arrangements.

9. Automated decision-making

We do not make recruitment decisions based solely on automated processing that produces legal or similarly significant effects. If screening questions, assessments or recruitment tools are used, hiring decisions involve human review.

10. Your rights

Depending on the circumstances, you may have the right to access, correct, erase, restrict or object to our use of your personal data. You may also have the right to data portability and the right to withdraw consent where we rely on consent.

You also have the right to complain to the UK Information Commissioner's Office at ico.org.uk.
